Returns management for non-EU sellers — a Spanish address, graded inventory, clean re-exports

A Spanish return address increases buyer trust on EU marketplaces. Add EOR-handled re-exports and disposition rules and your returns stop eating margin.

On this page

Returns are the silent killer of marketplace margins. A sale at €40 with a 30% margin loses money once the customer returns it, you pay the inbound shipping, the parcel sits with a forwarder for three weeks, and you end up either destroying it or paying to ship it out of the EU.

The fix is not to wish for fewer returns — they are baked into European e-commerce. The fix is to handle them locally, fast, and with a real plan for what happens to each parcel.

Why a local return address matters

Buyers on Amazon EU, Cdiscount, Allegro, and Bol expect a return address inside the EU. A US or UK return address triggers customer-service complaints, slow returns, and hits to your seller metrics. Marketplaces measure these and rank you accordingly.

DDP Spain gives you a Spanish return address. Customers ship to us. We log the inbound, assign it to your account, and apply your disposition rules.

What we do when a return lands

Every return is opened, photographed, and graded against your spec — A-grade resellable, B-grade refurb, C-grade scrap. The grading rules come from you and live in our system, so a parcel does not have to wait for a back-and-forth.

Once graded, we apply the disposition you set: restock to your inventory pool, consolidate for re-export to the country of origin, sell into a Spanish liquidation channel, or destroy with a certificate.

EOR on the re-export leg

If you are sending product back out of the EU — to your origin warehouse or to a third country — somebody has to file the export declaration as Exporter of Record. Non-EU companies cannot do this directly because the EOR also needs EU establishment.

DDP Spain acts as your EOR on re-exports. The export declaration goes out under our EORI, the MRN comes back to us, and the exit proof lives in our system for VAT recovery purposes.

Disposition options worth knowing

Resell locally: Spain has decent liquidation channels for consumer goods. We can route graded inventory to them and pay you net of fees.

Consolidate and re-export: hold returns in our warehouse until you have a full pallet or container, then ship out as one consignment. Cuts shipping cost dramatically vs piecemeal returns.

Destroy: certificate of destruction provided. Useful for damaged stock or items you cannot legally resell.

VAT implications

Returns of goods originally sold with EU VAT can be claimed back on your next VAT return, provided the paperwork is clean. Re-exports of returned inventory zero-rate the export, again provided you have proof of physical exit.

This is one of those areas where the wrong paperwork costs real money months later in a tax audit. We keep the trail clean from the moment the parcel enters our warehouse.

Set it up

Tell us your daily return volume estimate and your preferred disposition rules. We can set up a flow in under a week and have your Spanish return address ready for your marketplace listings.
