Get your trade show samples cleared and at the stand on time — IOR for EU fairs

Samples stuck in customs the day before MWC, IFA, or Anuga is the most expensive booth you will ever rent. Here is how we get them there cleared and on time.

You are exhibiting at IFA Berlin in three weeks. Your samples are leaving Shenzhen tomorrow. Somewhere in that timeline a customs declaration has to be filed by an EU-established party, and right now there is not one lined up. The empty booth nightmare starts with that gap.

The list goes on, and the IOR mechanics are the same regardless of the host country, because once cleared in Spain the cargo moves in EU free circulation.

That last point is worth repeating — we do not need to be physically near the venue. Madrid clearance plus inland transport beats most local IOR options on cost and lead time.

ATA Carnet vs definitive import with IOR

Two legal routes for fair samples. ATA Carnet is a temporary admission document — the goods enter EU territory tax-free on the understanding they leave again within a year. Useful for valuable display items going to a single fair and back.

Definitive import with IOR is the alternative. The goods enter as a normal import, duty and VAT paid (or postponed), and the importer can later sell, distribute, or re-export them. Useful when samples may be sold at the fair, given to prospects, or routed to a regional distributor afterwards.

Carnets need to be opened in the country of origin, get stamped at every border crossing, and create a real administrative load. For most B2B promotional material the IOR-with-definitive-import route is faster and more flexible. We can advise per shipment.

Promotional material vs commercial samples

Customs treats them differently. Promotional material with no commercial value — branded notebooks, lanyards, brochures — clears at low or zero duty under specific tariff codes.

Commercial samples with a real selling price are taxed. The trick is the declaration: if you over-declare value to be safe, you pay more duty than needed; if you under-declare, you risk customs revaluation and penalties.

We classify before the cargo leaves origin so the declaration is right the first time.

The DDP Spain fair flow

Pickup at your origin warehouse or factory. Air freight to Madrid for time-critical loads, ocean for bulky displays you can plan three months out. Clearance with us as IOR. Optional storage in our warehouse if the fair is a few days away. Inland delivery to the venue's logistics partner on the move-in day they specify.

Return leg: we collect from the venue at move-out, hold in storage, and either re-export under our EOR (if going back to origin) or distribute inside the EU.
